Staff Skills Matrix for Restaurants
Your rota says who is in. It never says who can run the coffee machine, who is allowed to close up, or who handles an allergy question properly. Mark it once in this grid and the tool works out which jobs hang on one person — and which ones nobody on tonight can do at all.
How it works
- 1
Say how many of you there are
One to twelve. You get a row per person; type their names in. Drop the number later and the names and the marks are kept, ready for when you put it back up.
- 2
Tick the parts your venue has
Kitchen, bar, floor and building. No bar? Those columns disappear — nobody reads a matrix full of jobs they do not have.
- 3
Click the boxes
One click goes can't → learning → can do it alone → can teach it. Tick who is actually in tonight and the tool says straight away which jobs have nobody.
- 4
Print the sheet
One landscape A4 for the office wall: the whole grid, the jobs that hang on one person, and who is worth training next.
Frequently asked questions
Is this skills matrix free?
Yes, completely free, no account and nothing to install. You fill it in and print straight from your browser. Everything stays in your own browser.
What is a staff skills matrix exactly?
One grid with your people down the side and your venue's jobs across the top. Each cell says how well somebody handles that job. It is the only sheet that answers the question your rota never does: if this person calls in sick, what falls over?
Why does the tool count jobs only one person can do?
Because that is the real risk. A team of five looks fine right up until it turns out exactly one person can cash up and exactly one person handles an allergy question properly. On paper you see dots; nobody ever does that sum themselves. So it is written out in words under the grid and on the printed sheet.
What does the 'in tonight' tick do?
That is the second question, and a different one. Tick who is actually on and the tool names the jobs nobody in tonight can do. That is exactly what you want to know at eight in the morning when somebody calls in.
How often should I update it?
Whenever somebody joins, leaves or learns something — in hospitality that works out at roughly monthly. Keep it next to your rota: it is meant to be picked up before you fill the week in, not hung on a wall once and forgotten.
This is a house document, not employment law and not a certificate. Which qualifications, certificates or tickets somebody needs, and what you may ask them to do, differ per country and per collective agreement — keep those in your own contracts and training records, not on this sheet.
