Staff availability sheet
One question up front: how many people does a shift need? Then your team fills in when they can work. The tool counts who actually said yes to each shift, names the ones nobody can cover, and names the ones that only fill by asking somebody who would rather not — exactly what you currently discover halfway through writing the rota.

Say what a shift needs
Two numbers: how many people the day service needs and how many the evening does. Everything the tool says afterwards hangs off those two.

Switch off the services you do not run
No lunch on Monday and Tuesday? Click them off. What is left are the shifts you are actually looking for people for — the rest is noise.

Fill in each person
Click a box: can → rather not → cannot → blank. "Rather not" is a real answer rather than half a yes, and the tool treats it as one.

Read what does not add up
The line under the sheet counts who said yes to each shift. What is missing is spelled out underneath — and so is whoever has not answered yet.
Frequently asked questions
Is this free?
Yes, completely free, with no account and nothing to install. You fill it in and print straight from your browser.
Is this the same as a rota?
No, and that is the point. A rota says who works; this sheet collects who can. You fill this in first and write the rota afterwards — otherwise you write a rota from memory and hear on Thursday that it is wrong.
Why a separate answer for "rather not"?
Because a shift that only reaches its number by counting somebody who would rather not is not a covered shift — it is a phone call you have not made yet. Every paper sheet in the trade collapses that into one tick box and loses it.
Can I print the sheet blank?
Yes. Print it empty, pin it up in the staff room and let everybody fill it in with a pen — or type it up on Sunday and print it as the record you keep. It is the same sheet.
Does my data stay private?
Yes. Everything stays in your own browser. Nothing is uploaded, nothing is stored on a server, and there is no account.
This is a house document, not a statement of law and not a contract. How far ahead a rota must be published, when a shift counts as agreed and what you may ask of somebody differ per country and per collective agreement — put those in your own employment contracts and work rules.
